Key Responsibilities1. Executive Support:- Act as the primary point of contact between the executive and internal/external stakeholders.- Manage the calendar, schedule appointments, and coordinate meetings.- Prepare and review documents, reports, and presentations.- Draft correspondence, emails, and memos on behalf of the organization in a professional and timely manner.2. Meeting & Event Management:- Plan and coordinate high-level meetings, ensuring agendas, materials, and participants are prepared in advance.- Record and distribute minutes of meetings, highlighting action points and deadlines.- Organize events, conferences, and travel arrangements, including visas, flights, and accommodations.3. Communication & Liaison:- Handle all incoming and outgoing communications, ensuring accuracy and professionalism.- Build and maintain strong relationships with clients, partners, and stakeholders4. Administrative & Organizational Support:- Maintain and organize confidential files, records, and correspondence.- Monitor and prioritize tasks, ensuring the executive office meets deadlines and objectives.- Track projects and initiatives assigned, providing status updates regularly.- Handle sensitive and confidential information with the utmost discretion.- Maintain and update office records, files, and databases.5. Office Coordination:- Assist with managing office supplies and ensuring the office runs smoothly.- Work closely with other departments to ensure seamless coordination of activities.- Ensure compliance with company policies, standards, and protocols- Support the organization of office events, meetings, and workshops, Compliance and Confidentiality6. Clerical Duties:- Handle mail distribution and manage incoming/outgoing courier services.- Operate office equipment such as printers, copiers, and scanners.
