The opportunityAs we roll out the Next Wave Strategy across EY and with our MENA Service Lines starting a new journey with a bold purpose of building a better working world by transforming business through the power of people, technology and innovation, the role of an AP becomes even more critical to ensure that firm liabilities are correctly stated at any given point & balance sheet reflects the correct position of vendors.As we expand our MENA service lines, we have identified the need to have additional support in the AP function.ÿYour key responsibilities:* Go through the central mailbox and retrieve the vendor invoices, some invoices may be received as a hard copy in the local office and this will be shared via e-mail by the local team.* Validate the invoice (duplication, quantity, price, legal entity information, date, PO#, if vatable or Not, etc.)* For Non?PO invoice, to make sure the business owner is aware of this invoice and approved it as well. ÿ* Send the invoice scan ?with any attachment, such as agreement, approval e-mail, etc? to the VIM e-mail along with the required information as mentioned below* Legal entity* Material code (this is very important as it affects both VAT & WHT)* ÿGL code* WBS* Remit vendor ID* Description required ?if something unique?* Currency & amount* PO number (after checked the PO details)* BRET ID if applicableÿ* Check the status of the invoice in VIM using T-code ?/N/OPT/VIM_VA2? and action accordingly wherever it is required (I.e., if under approval; we could follow up with the approver) until the invoice status is posted.* On weekly basis, a report of the due outstanding posted invoices must be generated and shared with the country finance lead & the country MSL then make the payment run and send the same to the business approver then for treasury approver.* On weekly basis, outstanding expense claims must be checked and the respective supporting documents are attached then the reimbursement is done* To prepare the payments though the banking portal (creating any new beneficiaries on the bank portal when needed)* After payments are released from the bank and the bank statements upload, to arrange for the clearing of the open line items in the clearing bank accountsÿ* Maintain vendor records, and might sometime have to send the respective team for newly vendors creation (taking into consideration the process; having a certified bank letter, getting a valid company registration & VAT registration)* Coordinate with Vendors for the reconciliation of outstanding APs (Account Statement).* If there are any pending actions, may require interactions with different teams, Vendors & Engagement Partners / Managers.ÿ* ÿIdentify any risks and inconsistencies to the attention of the lead.* ÿBe the ?Go To? person for any vendor / invoices related info.ÿ* Develop effective working relationships with the extended Finance team.* Participate in various improvement initiatives and information gathering activities.* Maintain a complete understanding of and adherence to all finance policies and processes.* Supporting in Adhoc requests from the Finance team and service line Leadership team* Prepare monthly bank & other reconciliationsÿSkills and attributes for success:* Ability to solve problems and provide a credible solution* Confident to challenge where appropriate* Strong analytical and numeracy skills, with a high degree of accuracy and attention to detail* Good time management skills and able to balance multiple priorities by considering risk, importance and level of urgency* Eagerness to learn quickly, be
