Roles & ResponsibilitiesJob PurposeThe position is responsible to overall manage and support the Recruitment, Payroll, Training &Development, PR Coordination, File Management, Fleet Management, Group Insurance andGeneral Core Administration activities of the HR department, aligned with the organizationalgoals and strategiesDuties and ResponsibilitiesTrack and timely coordinate with the PRO to apply and renew Trade Licenses and othergovt permits, as required for the smooth running of the business; Also, ensure compliance with local regulationsResponsible to Identify training needs, design and execute training programs - Technical & Certification, update and maintain centralized regional training database and records in HCM System; Also, to do training gap analysis, arrange for training evaluation,effectiveness, and training budgetCoordinate with all departments, organize and schedule internal, external, and E-learning training programs and maintain and keep the records.Responsible for timely planning and implementing all the assigned HR initiatives ofVeolia Group; Also, organize events and activities for employee engagement.To maintain professional and technical knowledge through continuous learning, by attending educational workshop, training, and e-learning programs, by reviewing professional publications and by benchmarking best practicesResponsible and manage general administration, including office, camp and facility management, verifying all PRO and Camp expense statements, also managing HR petty cash.Responsible to do timely filing of all assigned HR & confidential company documents and effectively manage Employee Personnel File and its audit by all concerned authoritiesResponsible to track and timely coordinate with the PRO and the Camp Boss to apply and renew Visa, Medical, EID, Labor Contract, Visa Stamping, Certificate Attestation as per UAE labor law and any other required government formalities for an employee to work in UAE; Also, ensure its timely communication with the employeesResponsible and manage Group medical insurance, life and disability and workmen ofDXB and AUH renewals, also initiated for new employee insurance registration, renewal, and cancellation, including medical emergency claim.To liaise for workmen compensation claims with coordination of HSE for required documents.Manage to BC365, for PQ and PO for procurement purposes for all HR and camp ExpenseTo manage and coordinate with fleet & car rental companies for timely renewal and keeping record of it.Prepare and update Job Descriptions; Also, prepare and regularly update OrganogramsTo prepare the required monthly and /or any other MIS, KPI, HSE report, as assigned by your reporting managerResponsible for arranging air ticket (exit employees, new staff on boarding & training)and hotel booking for employees as requiredEffectively manage and ensure 100% data accuracy in the HCM software and organize improvement initiatives; Also, regularly engage in HR data analysisSupport and assists to apply and renew tenancy contracts and other agreements of offices, yard, and camps in Coordination with PRO?sSupport the departments to add activities to trade license, issue permits and gate pass and represent the company in embassies and consulates, if required (Coordinate with PRO)Manage, support, and ensure to do all the required documentations for labor or any other audits or inspections, from any governments departments and authorities (Coordinate with PRO)Support employee separation, exit clearance, perform ?Exit Payroll? and final settlementfrom the HCM system and communicate to the employees; Also, organize visa cancellation and arrange air ticket, if applicable, including employee exitSupport and timely update of all HR policy and procedures, as requiredPrepare & support official letters, including salary certificates, memo?s, and circulars etc.To work ethically and to report any violations and acts that may affect the health, safety, environment, ethics, and company reputationTo Perform any other task, as assigned from time to time by the company, based on business requirement.Desired Candidate ProfileJob SpecificationsEducation: Preferably MBA (HR) or equivalent from an accredited University.Professional Certification: HRM, SPHR/ CIPD or any similar HR certifications may add valueSpecialized knowledge: UAE Labor Law and local rules and regulationsSkills: Strong communication skills, organizational and leadership skills, man management, strong data analytical skills, interviewing skills and self-starterComputer Skills: Computer literate (Microsoft Word, Excel, e-mail, internet, etc.)Other characteristics such as personal characteristics: Should be a team player,honest, self-confident, disciplined, highly organized and able to prioritize tasksExperience: At least 3 years of relevant work experience in the HR department of a reputed company in UAEWorking ConditionsNeeds to work more independentlyStandard hours of work. Sometimes, based on business requirements, the employee maybe required to work for extended hoursPhysical RequirementsExpected to dress professionally, as per the company standards.
