Direct & monitor all activities pertaining to Finance & Accounts, Garage, & Procurement departments.? Prepare annual budgets with monthly phasing & with palace wise apportioning in discussion with Top management representative and based on the inputs from all the department heads.? Get the budget approved by the GM.? Ensure error free book keeping and complete monthly and annual account finalization.? Ensure the asset register is up to date.? Generate accurate funds flow report at the beginning of the month and submit to GM.? Implement procedures to ensure all suppliers are paid on time in order to avoid delayed shipment from suppliers.? Ensure adequate protection of the company?s assets by handling all AMC and insurance related matters.? Develop mechanisms and financial metrics for converting Livestock and Date farming in to Profit centers.? Facilitate and monitor annual stock taking activity. To implement best practices in procurement.? Facilitate and ensure the completion of internal and external auditing of books of accounts within timelines.? Generate all periodic reports for review by GM. (Monthly, Quarterly, Half yearly and annually financial statements)? Review with the department heads in case expenditure exceeds budget and ensure such excess doesn?t get repeated.? Ensure full implementation of document controls and authorizations procedures in order to prevent fraud.? Review all agreements signed with the suppliers by the private office.Purchase:? To direct and supervise negotiation and executes contracts with the vendors as per requirement of quality, cost and delivery.? Verify veracity of quotations periodically and randomly for best prices and terms.? Randomly and periodically check management of stores for adherence to systems & procedures.? Ensure adherence to Vendor evaluation and vendor registration procedures.Vehicles (Garage):? Periodically review adherence to set guidelines and procedures with the Garage manager.? Review expenses on account of repairs and maintenance and spot anomalies.HR:? Ensure accurate processing of monthly payroll, zakat and other benefits, and deductions and ensure disbursement on time.Stores:? Verify and audit stocks of high value items on a prescribed frequency.
