Roles & ResponsibilitiesWe are seeking a detail-oriented, analytical Accounts & Operations Administrator to join our team in the UAE. This role bridges financial oversight with day-to-day branch coordination, ensuring accurate bookkeeping, expense tracking, and seamless operational flow. The ideal candidate will manage daily accounting entries, assist with financial reporting, and support procurement, vendor management, and administrative workflows.Roles & Responsibilities1. Financial & Accounting OperationsBookkeeping & Data Entry: Maintain accurate daily financial records, including accounts payable (AP) and accounts receivable (AR), using accounting software.Invoice & Expense Management: Verify, code, and process vendor invoices, expense claims, and utility bills, ensuring proper management approvals.Reconciliation: Perform regular bank, supplier, and cash drawer reconciliations to identify and resolve discrepancies promptly.Payroll Support: Gather timesheets, verify attendance records, and input data accurately to assist the finance/HR team with monthly payroll processing.2. Operations & Procurement SupportVendor & Supplier Liaison: Coordinate with suppliers to track purchase orders, verify delivery notes against invoices, and resolve pricing or quantity discrepancies.Inventory Control Support: Monitor stock levels and cost variances, assisting management with periodic physical inventory counts and waste reduction tracking.Facility & Maintenance Oversight: Track operational expenditures related to equipment repairs, routine maintenance, and branch supplies, ensuring cost efficiency.3. Compliance & Administrative ControlFinancial Compliance: Ensure all financial transactions adhere to local tax regulations (such as UAE Corporate Tax and VAT) and internal company policies.Record Keeping: Maintain organized digital and physical filing systems for financial audits, contracts, tax invoices, and legal documents.Liaison Support: Assist management and external auditors with requested financial documents, reports, and administrative compliance checks.Desired Candidate ProfileDesired Candidate ProfileLanguage Proficiency: Fluent spoken and written English and Hindi is mandatory for correspondence. Proficiency in or Arabic is a strong plus.UAE Experience: Minimum 2?4 years of combined experience in accounting, bookkeeping, and general administration within the UAE, preferably in F&B, hospitality, or retail.Current Location: Must be currently residing in the UAE and available to join on short notice.Technical & Professional SkillsSoftware Competency: Highly proficient in Microsoft Excel (VLOOKUPs, pivot tables, financial tracking sheets) and major accounting/ERP software (e.g., QuickBooks, Zoho Books, Tally, or POS-integrated systems).Financial Acumen: Basic understanding of UAE VAT regulations, bookkeeping principles, and cash flow management.Organizational Skills: Exceptional attention to detail, strong numerical accuracy, and the ability to manage competing priorities in a fast-paced environment.Key TraitsHigh level of integrity, discretion, and reliability regarding confidential financial data.Proactive problem-solving attitude with strong analytical skills.Effective communication skills to collaborate with management, vendors, and operations staff.A valid UAE driving license is a strong plus.
