Job Description

Job PurposeThe purpose of the role is to maintain employee data in the Central Bank system and be responsible for performing regular validation and updating data when required for all UAE-based first-party employees. Day-to-day responsibilities include managing the HR Document Management System (DMS), including performing audits of missing documents, migrating documents to DMS, and liaising with the HR team.Key AccountabilitiesCreate new employee records in the Central Bank System and ensure it is validated and submitted with SLA of 2 weeks Classified: Internal FAB Internal. Perform regular validation and update of Central Bank system records related to all UAE based First party employees against Fusion MIS and Central Bank system report and identify the discrepancies and update the CB records accordingly.. Ensure all employee changes (salary changes, transfers, promotions, title changes, etc.) and separation records are updated and maintained in Central Bank system on regular basis.. Ensure New Joiner Personnel File/DMS records are created within 5 working days of joining and scanned within 7 working days of joining with all documents and follow-up is made with OB Team in case of missing documents.. Ensure process related letters issued to employees (promotion, warning, suspension, signatory, transfer, Assignments, Conversion, Pension etc are maintained in DMS within 2 working days of letter issuance. Hard copies agreed to be retained required to kept in the Physical file. . Ensure Ex-staff files along with F&F documents are sent to warehouse on a weekly basis and perform monthly audit of Ex-staff files to ensure F&F documents are available in Personnel files and DMS records. Liaise with offboarding team to collect missing documents to complete scanning process.. Ensure Employees Personal Documents saved in Shared drive by Ask HR Team are maintained in DMS within 2 working days.. Responsible to ensure that activities are performed within the guidelines and maintaining the data secrecy. Perform Data quality checks on weekly basis to ensure all documents are rightly scanned into respective folders.. Generating and exporting data reports, spreadsheets, and documents as needed . Support all HR Operations Projects, complete activities assigned within the agreed timelines of the Project. 5. Job Context (Specific accountabilities unique for the role which are not covered in Section 4) Policies, Systems, Processes & Procedures. Follow all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.. Demonstrate compliance to organizations values and ethics at all times to support the establishment of a value drive culture within the bank. Review and ensure processes are followed as per SOP and approvals are in place as per DOA and Audit and compliance measures to be followed in all processes. Ensure records creation, maintenance and use are in accordance with Bank record management guidelines. Promotes effective records management throughout the Group HR.. Contribute to the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction. Classified: Internal FAB Internal Conflict of Interest. The role holder will be expected to assist key stakeholders (primarily: Their Business Line, Compliance Control Room and Group HR) to ensure Conflicts of Interest and FABs Code of Conduct policies and protocols are upheld. The role holder will also partner and advise the aforementioned on conflicts management, policy, process, procedure and breach escalation, including but not limited to core themes such as Gifts, Entertainments, Personal Account Dealing, Outside Business Interests/Activities, Material Deals and Information Walls. Teamwork and Cooperation. The ability to work in teams and place team goals above individual interests. Facilitating sharing of ideas, information and responsibilities. Supporting the team towards achieving a common goal, in line with FABs business objectives. Effective Communication. The ability to express and explain ideas clearly and correctly, both verbally and in writing. This includes communicating to a variety of audiences such as employees, peers, business and managers. Analyzing and solving problems. Understanding problems by breaking them into smaller parts and identifying risk-return implications in a systematic way. Making logical comparisons of possible outcomes and coming up with the best possible solutions to problems. QualificationsMinimum Qualification. Diploma/bachelors degree in business administration or related discipline.Minimum Experience. 2-3 years relevant experience in similar positions in the Human Resources function. Experience of working in managing core HR processes in HCM systems example Oracle and good working knowledge of Records Management
