Job Description

Job Overview:We are seeking a dynamic and detail-oriented individual to fill the role of Personal Assistant & Admin Officer. This position requires a combination of administrative proficiency, excellent organizational skills, and the ability to provide comprehensive support to executives and manage day-to-day office operations effectively.Responsibilities:Executive Support:

  • Provide high-level administrative support to executives, managing their calendars, scheduling appointments, and handling correspondence.
  • Act as a liaison between executives and internal/external stakeholders.
Office Administration:
  • Oversee daily office operations, including maintaining office supplies, managing incoming and outgoing mail, and ensuring a clean and organized workspace.
  • Coordinate office events and meetings, including logistics, catering, and technology setup.
Travel Coordination:
  • Arrange travel plans for executives, including flights, accommodations, and ground transportation.
  • Prepare detailed itineraries and ensure travel arrangements align with executives preferences and schedules.
Communication Management:
  • Manage phone calls, emails, and other communications on behalf of executives.
  • Draft and edit various documents, correspondence, and reports.
Database and Record Management:
  • Maintain accurate and up-to-date records, databases, and filing systems.
  • Ensure confidentiality and security of sensitive information.
Meeting Support:
  • Assist in organizing and coordinating meetings, including preparing agendas, taking minutes, and following up on action items.
Financial Administration:
  • Assist in budget tracking, expense reporting, and invoice processing.
  • Collaborate with finance and accounting teams as needed.
Problem-Solving and Decision Making:
  • Handle administrative challenges independently, demonstrating initiative and problem-solving skills.
Qualifications:
  • Bachelors degree in Business Administration, Secretarial Studies, or a related field.
  • Proven experience as a Personal Assistant or Administrative Officer.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office suite and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Detail-oriented with a proactive and positive attitude.
