Job Description

Title: administrative Assistant to Managing Director (Female)We are seeking a highly organized and proactive Female admin Assistant to provide comprehensive support to the Managing Director (MD) of our company. The ideal candidate will be responsible for managing all email and phone communications on behalf of the MD, ensuring prompt and professional responses to inquiries, requests, and scheduling matters.Responsibilities:

  1. Manage all email correspondence for the MD, including sorting, prioritizing, and responding to emails in a timely and professional manner.
  2. Handle incoming phone calls for the MD, screening and directing calls as appropriate.
  3. Act as the primary point of contact for external stakeholders contacting the MD via email or phone.
  4. Maintain the MDs calendar and schedule appointments, meetings, and travel arrangements as needed.
  5. Prepare agendas, documents, and presentations for meetings attended by the MD.
  6. Coordinate with other departments and team members to gather information or facilitate communication on behalf of the MD.
  7. Handle confidential information with discretion and maintain strict confidentiality at all times.
  8. Assist with special projects and initiatives as assigned by the MD.
Requirements:
  1. Proven experience as a Personal Assistant or similar role, preferably supporting C-level executives.
  2. Excellent communication skills, both written and verbal.
  3. Strong organizational and multitasking abilities, with attention to detail.
  4. Proficiency in email management and phone etiquette.
  5. Ability to prioritize tasks and work effectively under pressure.
  6. Discretion and professionalism when dealing with sensitive information.
  7. Proficiency in Microsoft Office suite and calendar management software.
  8. Bachelors degree preferred, but not required.
  9. Flexibility to adapt to changing priorities and schedules.
