Job Description

The Admin Assistant role in the trading and commodity trading sector is pivotal for ensuring smooth operations and effective communication within the organization. This position requires a proactive individual who can manage various administrative tasks while supporting the team in achieving its goals. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.Responsibilities:

  1. Manage and organize office operations and procedures to ensure efficiency.
  2. Assist in the preparation and management of documents, reports, and presentations.
  3. Coordinate meetings, appointments, and travel arrangements for team members.
  4. Maintain and update filing systems, both electronic and physical.
  5. Handle incoming calls, emails, and correspondence, ensuring timely responses.
  6. Support the finance team with invoicing and expense tracking.
  7. Prepare and distribute internal communications and newsletters.
  8. Assist in the onboarding process for new employees.
  9. Monitor office supplies and place orders as necessary.
  10. Contribute to team projects and initiatives as required.
Preferred Candidate:
  1. Strong communication skills, both verbal and written.
  2. Ability to work independently and as part of a team.
  3. Excellent time management and organizational skills.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  5. Attention to detail and problem-solving abilities.
  6. Experience in a similar administrative role is preferred.
  7. Positive attitude and willingness to learn.
  8. Ability to handle confidential information with discretion.
  9. Familiarity with office management software is a plus.
  10. Multilingual abilities are an advantage.
