OVERALL JOB PURPOSE:Responsible for the functional support, maintenance and optimisation of HR Information Systems providing trustworthy and reliable HRIS and ensuring that Maadens human resources system needs are met3. Ensure creation of profiles in the system for all employees in an accurate and timely manner.2. Review and approve all employee profile update requests including basic information as well as the employment information (e.g. salaries, promotions, cost centre, etc.)3. Maintain and up to date employee records for all employees4. Provide support to employees in employee self service5. Resolve issues related to employee data management activities, if any, and escalate any unresolved issues to Employee Relations Head6. Ensure that employees are notified of the rejected employee profile update requests along with the appropriate reason for request rejection7. Assist in implementing and maintaining systems, policies and procedures related to Employee Data Management and HRIS to ensure adherence to company guidelines in addition to all policies and procedures that the Specialist?s superiors may see fit and applicable for the Employee Data Management operations8. Contribute to preparation of Employee Data Management and HRIS related reports for the management, auditors, etc. as per the directions of the Employee Relations Head9. Develop recommendations on best-in-class HRIS solutions to meet the system-related business requirements and HR objectives10. Ensure strategic integration of HR processes, policy and procedure into the HR information systems11. Coordinate between HR departments and IT department to ensure the HRIS requested is tested, delivered and effectively functioning and escalate any issues to Employee Relations Head12. Perform any additional responsibilities passed on by Employee Relations Head as requiredSystem Optimization:* Analyse and report the need for system enhancement or customization* Assist to determine the validity of (other) modules within HRIS, ensure current modules are being utilised and optimized to the fullest and support the implementation/maintenance of various modules within the system* Contribute to provide advisory services and guidance to management regarding system requirements based on company resources and needs* Data entry/maintenance into the HRIS system and assure data integrity of HR information* Back-up liaison for HRIS* Recommend changes to current processes to provide more effective use of the HRIS, and participate in projects to implement these changes (i.e. onboarding and exits, org charts, employment changes, performance management, recruitment, etc)* Work closely and collaboratively with other Shared Service departments in ensuring enrolment system functionality meets the needs of the organisation and reflects the accuracy of the benefits renewal rates and policy* Provide on-the-job and formal training to human resource data system users using custom software and company applications* Assist in designing and maintaining essential workflowsAnalytics:* Generate, and maintain effective periodic and ad-hoc HR reporting (e.g. turnover, headcount, recruiting, organisation charts, and other key metrics to drive organisational effectiveness)* Assist to develop a dashboard of HR metrics to be presented at monthly, quarterly, and annual senior leadership meetings* Develop and generate ad hoc reports to provide HR with timely and accurate data* Maintain and assist to create documentation of reporting processes and training guides for end users* Prepare, maintain, and update employee data for the HR information system* Provide technical guidance and direction to administrative, technical, and clerical staff on the operation and maintenance of the human resources information systemsAudits and Compliance:* Execute a regular monthly audit schedule to review the integrity of data in the HRIS system and databases and resolve issues* Serve as the liaison for annual data testing and auditing for HR team and other compliance requirements* Coordination of regulatory/legal compliance for HRBenefits and Compensation Administration Back-up:* Regularly interface with vendors and benefit brokers to resolve employee questions and claims* Administer and manage all new hire, insurance and benefits enrolment* Make recommendations for cost effective benefit program design changes* Manage employment verification requestsLeadership1.
