Job Description

Our client is a premier event management company based in Riyadh. Their services include planning and organizing exhibitions, Gala dinners, conferences, summits, corporate events, fund raisers, product launches, networking events and festivals. They are seeking an Executive Assistant to join their team in Riyadh.Job Brief:As an Executive Assistant you will be responsible for managing administrative tasks, coordinating schedules, and assisting with various projects to enhance the productivity and efficiency of our executives. Your ability to maintain confidentiality, prioritize tasks, and effectively communicate will be instrumental in ensuring the smooth operation of our organization.Tasks and Duties:Calendar Management: Schedule and coordinate meetings, appointments, and events for executives. Prioritize conflicting commitments and manage last-minute changes.Communication Coordination: Handle incoming calls, emails, and messages on behalf of the executive team. Draft and proofread communications, letters, and reports.Travel Arrangements: Organize travel logistics, including flight bookings, accommodations, and transportation.Meeting Support: Prepare meeting agendas, materials, and presentations. Take meeting minutes and follow up on action items.Data Management: Maintain and organize confidential files, documents, and records. Handle sensitive information with the utmost confidentiality.Project Coordination: Assist in various projects, research, and special assignments as assigned. Collaborate with other team members to ensure project deadlines are met.Relationship Management: Build and maintain positive working relationships with internal and external stakeholders. Serve as a point of contact for executives and handle inquiries as appropriate.Key Performance Indicators (KPIs):Time Management Effectiveness: Efficient scheduling and coordination of executive calendars.Communication Efficiency: Timely and accurate handling of emails, messages, and phone calls.Project Support: Contribution to the successful completion of assigned projects and initiatives.Confidentiality Maintenance: Demonstrated ability to handle sensitive information securely.Task Prioritization: Effectively managing multiple tasks and prioritizing based on importance.Skills and Qualifications: Bachelors degree in business administration, Communication, or a related field (or equivalent experience). Proven experience as an Executive Assistant or in a similar administrative support role. Excellent organizational and time management skills. Strong communication and interpersonal abilities. Ability to maintain confidentiality and handle sensitive information. Proficiency in using productivity tools (e.g., Microsoft Office Suite, Google Workspace). Adaptability and the capacity to work under pressure and meet tight deadlines.
