Student Support Specialist, Years 3 & 4 | |Position DetailsPosition Information Position Type Professional Staff Faculty Track Position Title Student Support Specialist, Years 3 & 4 Employment Status Full Time Months 12 Campus Biddeford, ME Description The Student Support Specialist (SSS ) is the personal guide through a student?s progression through the third and fourth year off-campus clinical rotation experiences for students in the College of Osteopathic Medicine. The SSS provides concierge-type assistance to guide the administrative questions of the student and monitor progression to graduation. Basic job functions include corresponding with students via email or phone and providing them with the administrative information that they will need in order to complete their academic program. This involves assisting them with clinical registrations, corresponding with rotation sites on their behalf and responding to student questions regarding the clinical experience, their program requirements and their status towards fulfilling those requirements. Responsibilities ? Provide independent, personal, high touch support to students and act as the student?s main point of contact during the third and fourth years of their program of study. ? Guide and monitor student rotation-scheduling process to assure that all requirements will be met prior to graduation. This involves periodically auditing the student?s schedule and communicating directly with them regarding any deficiencies. ? Provide responsive assistance to new, continuing and returning students? questions with particular attention paid to building and maintaining relationships and ensuring student success under stressful conditions. ? Evaluate student?s abilities and personality characteristics in order to tailor guidance and support activities to an appropriate level. ? Proactively contact students by email or telephone when questions arise regarding scheduling strategies. ? Advise students on department policies. Proactively communicate with students regarding clinical scheduling errors or other problems. ? Develop a facile knowledge of Visiting Student Application Service and its requirements as they pertain to students setting up elective rotations electronically. Assist in providing as seamless a process as possible in the navigation of this system. ? Monitor all faculty evaluations of student. Determine possible evaluation issues and communicate these potential problems to the Associate Dean for Clinical Education. Follow through to resolution. ? Input student evaluations received in non-electronic format. ? Monitor student certifications (e.g. BLS , ACLS , HIPAA , OSHA ) and assist in arranging the facilitation of updating these particular certifications. . ? Follow-up with students that contact other departments to ensure resolution of their issue. ? Identify at-risk students and provide necessary documentation to the Associate Dean for Clinical Education. ? Gather and report all clinical rotation grades to the Registrar?s Office and enter these grades into the student transcript. Assure accuracy of credits and grades as they appear on all documents. Assist students with obtaining clinical grades from rotation sites when appropriate. ? Act as a liaison between students and clinical sites, providing clinical sites with all necessary student documentation to ensure preparation for each clinical experience. ? Maintain and foster relationships with Clinical Campus Coordinators with regards to providing continuum of communication between the College and the off-site clinical locations. ? Act as liaison between UNE and rotation site Contract Departments to ensure that necessary site affiliation agreements are in place prior to student starting elective rotations. ? Collaborate with the curriculum department to facilitate a smooth transition from the preclinical to the clinical experience for all students ? Work directly with the Associate Dean for Clinical Education and the Clinical Rotations Coordinator to ensure streamlined student communication and correspondence follow-through within the department. ? Develop strategies to improve processes within the department for the benefit of students. ? Collaborate with other departments including Curriculum, Student Health Center, Registrar and Office of Constituent Services to address common goals and strategies and improve current processes. ? Participate in committees as they pertain to job function and responsibilities. ? Maintain accurate and complete records. ? Complete all tasks in a timely manner. Qualifications Bachelor?s degree or equivalent experience, plus relevant customer service experience in a fast-paced, high-distraction, high acuity environment or a combination of education and experience from which comparable knowledge and skills are acquired. At least two years of higher education administration or student services desirable. ? Ability and passion for building strong personal relationships and serving others ? Experience with spreadsheets, databases, presentation software and word processing ? Strong interpersonal skills, written and verbal communication, and creative problem-solving skills ? Ability and willingness to work additional hours occasionally as needed for special projects ? Ability to relate well with others and perform duties with a high degree of integrity, confidentiality, and adherence to professional ethical standards ? High level of customer service, interpersonal and communication skills ? Ability to work independently as well as part of a team ? Excellent organizational, multi-tasking skills and high level of attention to detail ? Ability to work under pressure of deadlines and/or time limitations ?
