In this role, you?ll work directly with Motive?s G&A leaders and be responsible for a mix of administrative and operational activities. The ideal candidate will be proactive, organized, able to maintain strict confidentiality and bring a blend of professionalism, passion and adaptability to the role. This role will report to the Manger, Executive Assistant and be part of our centralized Executive Admin team.A critical part of this role is to understand the priorities of the company and to effectively balance conflicting priorities, and serve as a reliable point of contact/liaison for internal and external parties. Your ability to exercise both sound judgment and discretion is key. You have a strong internal drive, are focused on relationships, and maintain the highest standards of professionalism.What Youll Do:

  • Own and proactively manage complex and high-volume calendars across multiple time-zones, including vetting, prioritizing and providing recommendations.
  • Develop a specialized understanding of the executives business priorities and structure meeting cadence to support long-term business objectives.
  • Total travel coordination including air and ground transportation, hotel reservations, security, visas and other travel documentation.
  • File expense reports and track reimbursement status.
  • End-to-end meeting and event planning and logistics, including all-hands, summits, team events and QBRs.
  • Attend team staff meetings, track agenda and action items, and assist executives to keep priorities on course.
  • Leverage strong written, verbal, and interpersonal communication skills to draft and prepare various communications, presentations and materials for internal and external use.
  • Partner with recruiting to schedule and coordinate interviews.
  • Maintain confidentiality and operate with the highest of ethical standards and professionalism.
  • Develop strong relationships with cross-functional partners throughout the organization.
  • Assist in day-to-day projects and assignments as needed.
What Were Looking For:
  • 4-5 years previous experience partnering with senior management in a fast paced, innovative environment.
  • Be a motivated self-starter who works independently, effectively problem solves, prioritizes work and anticipates the needs of the executives.
  • Skillful execution of administrative activities, with high attention to detail, organization and process.
  • Experience with the setting up and management of virtual meeting platforms such as Zoom, Webex, GoToWebinars, Google Hangouts and conference calls.
  • Experience with travel and expense management tools, such as TripActions and Expensify.
  • Comfort in learning new technologies as to become proficient in desktop systems/internal software necessary to successfully perform assigned tasks.
  • High level of confidentiality, discernment, and judgment.
  • Adaptable under pressure.
  • Strong relationship management skills, with the ability to build a personal network throughout the company.
  • Ability to communicate clearly and effectively with senior leaders and external partners.
  • Bachelor?s degree (Preferred Western Degree)
