Job Description

Executive Secretary To The General ManagerAs a Secretary you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the companys workforce. * - Answer phone calls and redirect them when necessary* - Manage the daily/weekly/monthly agenda and arrange new meetings and appointments* - Prepare and disseminate correspondence, memos and forms* - File and update contact information of employees, customers, suppliers and external partners* - Support and facilitate the completion of regular reports* - Develop and maintain a filing system* - Check frequently the levels of office supplies and place appropriate orders* - Make travel arrangements* - Document expenses and hand in reports* - Undertake occasional receptionist duties* Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives behalf* Maintaining comprehensive and accurate records * Performing minor accounting duties * Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary* Answering phone calls in a polite and professional manner* Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department* Managing the executives calendar, including making appointments and prioritizing the most sensitive mattersSkillsAbility to manage multiple assignments, set priorities, and adapt to changing conditions Be a results-driven achiever with excellent organizational skills Must be an exceptional listener and communicator who effectively conveys information verbally and in writing Have stamina, drive and perseverance to handle pressure well Must be willing and able to resolve problem situations with a smile on their face Reliable.
