In 2019-20 we connected with 80 million people directly and with 791 million overall, including online and through our broadcasts and publications.Role Purpose:To support the business operations administration function in maintaining Jordan British Council facilities, systems, processes & documentation, and handle internal enquiries & requests related to business operations. The role will contribute to the achievement of British Council corporate standards and meet relevant polices/ procedures.To be a pro-active member of the business operations team. Work as part of an efficient and effective team to support the business in achieving objectives. The role will ensure that team performance adds value to the delivery of objectives and to ensure that all risks, compliance, and business continuity are identified and monitored.To support business operations management in the delivery of new initiatives and change programmes.Main Accountabilities:Administration and customer support:

  • Deliver office administrative tasks and clerical work
  • Creating and following up monthly premises and overhead PRs and ensure payment on time.
  • Managing and controlling Jordan office invoices and sharing them via Mena shared mailbox on daily basis
  • Follow up with vendors for reconciliations and year end vendor clearances.
Relationship & stakeholder management:
  • Ensure good relationship with internal and external stakeholders
  • Manage relationship with banks and vendors and respond to any related enquiry
Finance & resource management:
  • Managing cash policy and ensuring compliance including posting GLs for Cash and petty cash on SAP daily
  • Manage the preparation and delivery of off system payments.
  • Leading on payables, executing payment runs, refunds cheques and responding to any related request from FC team, vendor or bank
  • Managing and updating the delegation of authorities for Jordan office
  • Train new joiners on using SAP in PR creation, GR and IR, staff to clear their accounts on SAP, and preparing OTV and Journals for other departments
  • Monthly preparing for accruals, deferrals, and prepayments
  • Reconciling card payments, pay tabs and reporting on daily basis.
About You (essential requirements for the role):
  • Relevant degree or equivalent level of experience in accounting and administration
  • The British Council systems and global processes operate in English. This job requires written and verbal proficiency in English and Arabic.
  • At least 1 years? experience in a similar role. Proven track record in general office administration.
  • Experience working in a multi-cultural organisation in an international context
  • Strong organisational skills with the ability to prioritise tasks and meet deadlines
  • Ability to build effective relationships with employees and management to achieve the delivery of high quality and effective professional services
  • Ability to develop and manage a range internal and external stakeholder relationships
  • Strong administrative experience with the ability to interpret and follow organisational policy and practices.
  • Finance experience and use of SAP systems
  • Demonstrated experience in using Microsoft Office in particular excel
