Job Description

  • Perform the assigned duties as per the set policies and procedures in order to achieve the department goals.
  • Manage and maintain the schedules for the Managing Director, obtaining and providing relevant information for appointments and scheduling/arranging offsite travel (hotel, flight, rental car, meeting agendas, presentation, location, needs etc?) in compliance with company policy.
  • On behalf of the Managing Director, prepare correspondence and other material requiring considerable judgment and knowledge of day to day operations; screen, trace, file, retrieve, and coordinate all incoming and outgoing correspondence and necessary communication directly related to the overall management of the company.
  • Participate in Executive and Leadership Team meetings through the preparation of agendas, coordinating presentations, taking meeting minutes, and general record keeping.
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, coordinating resources and meeting in an effective and timely manner, and demonstrating respect for others.
  • Organize and maintain contracts, records, and other essential documents; archive outdated information in accordance with records management compliance.
  • Manage and lead assigned direct reports, including planning, organizing, and reviewing work, setting performance expectations and ensuring opportunities for professional growth.
  • Exercise discretion and independent judgment in matters of importance, and ensure the general operations of the Managing Director?s (MD) Office are functioning to maximum capacity. Re design MD Office processes to streamline functions, eliminate redundancy and expedite workflow.
  • Work on Ad-hoc requirement as & when requested by the Executive Management.
  • Develop and execute innovative ways to engage with sales and purchasing operations throughout Asia, Middle East & Africa.
  • Manage the mail office activities to ensure the processing of correspondence on timely manner with high accuracy and confidentiality when required.
  • Manage and maintain office files and documents; draft letters and emails with high accuracy.
  • Ensure a smooth running of all office processes.
  • Update the logging of daily schedule and vacation logs for the direct manager.
  • Book and arrange services for the conference rooms in response to requests from the direct manager.
  • Prepare reports, documents, and data sheets upon the request of managers.
  • Assist the direct manager in preparing the budget and different kinds of reports as and when required.
  • Maintain and follow up on office supplies, stationery and equipment and reorder whenever needed..
  • Perform any other tasks related to the job assigned by the direct manager.
