The Global Mobility Tax & STBT Support is primarily responsible for assisting the Global Mobility Tax Manager with the business travel remittance of tax and social security programme, as well as other ad hoc tax processes. The successful candidate should ensure that guidelines and policies governing business travel tax and social security compliance are adhered to and delivered in a way that ensures an excellent employee experience.The core accountabilities are as follows;

  • Review and action weekly and monthly tax and social security compliance reports provided by HSBC?s business travel tax and social security vendor.
  • Send communications to business travellers advising them of potential tax and social security implications of their business travel.
  • Monitor and respond to tax and social security compliance queries sent to the HSBC business traveller shared mailbox.
  • Ensure the status of compliance activities (e.g. tax briefing authorisations, tax returns etc.) is documented and continually updated for all business travellers.
  • Ensure employee business traveller guidance on HSBC internal HR system is up to date and accurate and respond to / action any feedback provided by HSBC employees.
  • Work with Group Tax, Group Payroll and HR to ensure business travel tax and social security compliance processes are up to date and relevant.
  • Ensure compensation data for business travel tax and social security compliance is provided to the relevant tax vendors in a timely manner to ensure statutory deadlines are met.
  • Provide HSBC entity structure information on a monthly basis to the relevant vendor to ensure accurate tax and social security compliance reports.
  • Support with the delivery of ad hoc processes and procedures related to other Global Mobility tax matters.
The Opportunity: Impact on the Business/Function
  • Work with the Global Mobility Tax Manager to ensure the business traveller tax and social security compliance policy is adhered to and manage global processes to support HSBC and employe obligations.
  • Help to define the ongoing governance of tax and social security compliance for business travellers with clear escalation, education and continually improved processes to manage potential risks for the Group.
  • Own the tax compliance aspects, including ensuring that payrolls are processed and that employee tax returns are filed within the statutory deadlines.
  • Successful business travel tax compliance seasons and monthly /quarterly/annual payroll completed accurately and in a timely manner.
Customers / Stakeholders
  • With support from the Global Mobility Tax Manager, respond to all questions related to tax compliance management that employees and Line Mangers may have.
  • Queries responded to within the agreed timeframe and positive feedback from employees.
Leadership & Teamwork
  • Work closely with external tax vendors, Deferred Compensation teams and Payroll teams to ensure seamless and accurate processing of all payments and vestings.
  • Work with external tax vendors to ensure the smooth running of all processes affiliated to the business traveller tax return process.
  • Feedback from teams.
Operational Effectiveness & Control
  • Ensure that all policies and processes established to manage the tax aspects of business travel are recorded appropriately, managed effectively and revisited on a regular basis.
  • Measure at Risk Management Meeting committees and Internal control.

  • Global Mobility operates at a global level; global policy, core processes, systems, vendors and operating structure. However, most of the environment in which Global Mobility operates is either local or regional which can cause barriers in delivery.
  • The complexity of tax withholding and the inherent difficulties in running a consistent process across multiple locations means that the successful candidate will have to work with a variety of stakeholders across a number of different issues on a daily basis.
Role Context (The environment and operating conditions of the role including the extent of guidance and authority)
  • The successful candidate will report directly to the Global Mobility Tax Manger.
  • They will also have direct engagement with Payroll, Deferred Compensation, Share Plan and Group Tax teams.
Management of Risk (Operational Risk / FIM requirements)The successful candidate will also be required to continuously monitor and adapt processes in light of the following factors:
  • Changing economic or market conditions;
  • Legal and regulatory requirements;
  • Operating procedures and practices;
  • Management restructurings; and
  • The impact of new technology.
Observation of Internal Controls (Compliance Policy / FIM requirements)
  • The successful candidate will need to comply with and be able to demonstrate such compliance with internal controls. This will be achieved by following all relevant procedures, keeping appropriate records and, where appropriate, implementing any internal or external (including regulators) audit points / recommendations on a timely basis.
