As we continue to grow and expand our operations, we are seeking a Document Controller / Administrator to join our dynamic team.Position Overview:As a Document Controller / Administrator at dpa, you will play a crucial role in ensuring the efficient management and organization of project documentation, enabling our team to deliver high-quality lighting solutions. You will be responsible for maintaining accurate records, coordinating document workflows, and supporting administrative tasks to keep projects on track and within budget.Key Responsibilities:Document Control:

  • Establish and maintain an organized and accessible document filing system.
  • Receive, log, and distribute incoming project documents, including drawings, specifications, contracts, and correspondence.
  • Ensure documents are accurately labeled, versioned, and filed according to company standards.
  • Monitor document change requests and track revisions to ensure accuracy and completeness.
  • Collaborate with project teams to manage document review and approval processes.
Administrative Support:
  • Assist in scheduling and coordinating meetings, appointments, and project milestones.
  • Prepare and distribute project status reports and updates to team members and clients.
  • Support procurement activities by tracking orders and maintaining supplier documentation.
  • Handle general administrative tasks such as data entry, correspondence, and phone/email communications.
Communication:
  • Act as a liaison between project teams, clients, and external partners, facilitating the exchange of project-related information.
  • Maintain clear and open lines of communication regarding document status and project progress.
  • Respond promptly to document-related queries and requests.
