Job Description

  • Proven experience in an administrative, customer service or operations support
  • Operation and organizational management and coordination
  • Manage customers incoming and outgoing communications, including answering phone calls and responding to emails in a professional and timely manner
  • Maintain and organize physical and digital files, records, and documents of Supply Chain Dept., ensuring accuracy, confidentiality, and easy retrieval.
  • Assist in monitoring & receiving Sales Order & Sales Forecast from Customer and compile in Sales Order Monitoring File
  • Assist in preparing sales documents such as Quotations, Sales Order Confirmation, etc..
  • Oversee and manage inventory control processes to ensure accuracy and minimize stock discrepancies
  • Conduct regular inventory audits to identify discrepancies,investigate root causes, and implement corrective actions.
  • Place Purchase Orders to suppliers and follow-up with supplier for manufacturing and delivery timelines.
  • Management & Monitoring of Purchase Order File to check open and to follow-up POs.
  • Monitor and coordinate PO payments to accounting efficiently and accurately
  • Update material inventory file to ensure sufficient materials for production are in-stock to avoid material shortages
  • Assist in clearing import & locally purchased materials in customs for deliveries to plant & coordination with freight forwarders.
  • Coordinate with warehouse team all the incoming & outgoing deliveries.
  • Create Invoices, Packing List and relevant shipping documents accurately.
  • Report to Supply Chain Officer all encountered problems within the dept
  • Other task as assigned.
