CRUISE MOTORS FZCO is seeking a highly skilled and motivated Bilingual Administrative Assistant to join our dynamic team. The ideal candidate should be fluent in both English and French, with an additional proficiency in either Spanish, Russian, or Portuguese. The successful candidate will have previous experience in the travel agency or ecommerce industry, coupled with a strong background in administrative tasks, data entry, and proficiency in Microsoft Office applications.˙Job Overview:We are looking for a proactive and detail-oriented Administrative Assistant to provide comprehensive support to our administrative operations. The ideal candidate will be organized, efficient, and able to handle a variety of tasks to ensure the smooth functioning of our office.˙Key Responsibilities:Bilingual Communication:Communicate effectively in both English and French, with an additional proficiency in Spanish, Russian, or Portuguese.Assist in facilitating communication between the company and international clients, partners, and suppliers.Administrative Support: Provide general administrative assistance, including managing phone calls, emails, and correspondence. Maintain organized filing systems and documentation.Calendar Management: Schedule and coordinate appointments, meetings, and events for management and staff. Ensure timely reminders and updates.Office Coordination: Oversee day-to-day office operations, including ordering supplies, managing office equipment, and maintaining a tidy and efficient workspace.Data Entry and Record Keeping: Accurately input and maintain data in various systems. Keep detailed records and update databases as needed.Communication Liaison: Act as a point of contact between internal teams and external partners. Relay information effectively and professionally.Travel Arrangements: Assist in making travel arrangements for team members, including booking flights, hotels, and transportation.Meeting Support: Prepare meeting agendas, take minutes, and distribute relevant documents. Coordinate logistics for internal and external meetings.Expense Management: Track and process expense reports, ensuring accuracy and compliance with company policies.
