Job Description

The Facility Management Supervisor oversees the effective and efficient management of a facility, ensuring its smooth operation and maintenance. This role involves supervising a team and coordinating various tasks related to facility operations, maintenance, and safety. Key responsibilities include:

  1. Facility Operations: Supervise daily facility operations, including building maintenance, repairs, security, and custodial services. Ensure that the facility is well-maintained, clean, and in compliance with safety regulations.
  2. Team Supervision: Lead and supervise a team of facility management staff, providing guidance, assigning tasks, and monitoring performance to ensure efficient operations and optimal productivity.
  3. Maintenance Planning: Develop and implement maintenance plans, schedules, and preventive maintenance programs to address regular upkeep, repairs, and improvements in a timely manner.
  4. Vendor Management: Oversee relationships with external vendors, contractors, and service providers. Coordinate their activities, review contracts, and ensure quality service delivery within budgetary guidelines.
  5. Budgetary Control: Assist in budget preparation and monitoring for facility-related expenses. Track costs, analyze variances, and make recommendations for cost-effective solutions and resource allocation.
  6. Health and Safety Compliance: Ensure compliance with health and safety regulations and maintain a safe working environment for employees and visitors. Conduct regular inspections and risk assessments, implement safety protocols, and address any identified hazards.
  7. Space Management: Coordinate office space allocation, layout planning, and furniture/equipment inventory. Optimize space utilization and collaborate with relevant stakeholders for efficient workplace design.
  8. Emergency Preparedness: Develop and implement emergency response plans, including fire safety, evacuation procedures, and disaster recovery protocols. Conduct drills and provide training to staff as needed.
  9. Sustainability Initiatives: Promote and implement sustainable practices within the facility, such as energy conservation, waste management, and environmental stewardship.
  10. Reporting and Documentation: Maintain accurate records, reports, and documentation related to facility operations, maintenance activities, incidents, and expenses. Generate regular reports for management review.
