Job Description

JOB PURPOSE:˙Reporting to the Service Manager, the Service Coordinator will be responsible for supporting customers and ensuring productivity through the coordination and administration of systems, processes, resources and personnel.˙This will involve regularly liaising with the Field Service Engineers to ensure timely attendance for breakdowns and servicing of machines on hire. The Service Coordinator will also act as a point of contact for customers by answering their queries and providing regular updates to them on the progress of repairs.Key Responsibilities:˙

  • Provide service administrative support to the (country) business.
  • Co-ordinate engineers in the regular maintenance of machines on site and in response to machine breakdowns in the field.
  • Ensure that breakdowns are attended to promptly by service staff, flag issues to Service Manager
  • Ensure that servicing and technical bulletins are completed on time for all equipment.
  • Ensure 3rd Party statutory fleet inspections are scheduled and completed on time.
  • Create and maintain access tracker logs, central service files, thorough examination logs and breakdown records.
  • Prepare monthly and one-off reports, as required by management including daily/ weekly breakdown ? service and 3rd party reports.
  • Provide administrative support to engineering staff, as required (to include letters of authorisation, training records, vehicle servicing, site gate passes etc)
  • Liaise with customers/site personnel to coordinate site access passes.
  • Ensure accurate completion of all relevant paperwork including engineer?s report and service sheets.
  • Maintain records covering workshop equipment and vehicle servicing.
  • Ensure engineers breakdown reports are processed and chargeable issues are referred to Operations Manager / Service Manager)
  • Ensure all service vehicles are maintained to the TechX standards and monthly spot checks taken.
  • Allocate work to field/workshop engineers
  • Ensure that we communicate with the customer about the repairs and inform them promptly about any operator errors or damages to the machines.
˙In addition to the above the job holder shall carry out any other duties as are deemed necessary to carry out the role.
