Job Summary:We are seeking a reliable and organized Office Administrator to support our signage business operations. The ideal candidate will manage day-to-day administrative tasks, coordinate with internal teams and clients, and ensure smooth workflow across departments including design, production, and installation.Key Responsibilities:Administrative Support:Manage office communications including emails, phone calls, and correspondencePrepare quotations, invoices, delivery notes, and purchase ordersMaintain organized digital and physical filing systemsProject Coordination:Assist in tracking signage project timelines and deliverablesLiaise between clients, designers, and production teams to ensure accurate communicationSchedule and follow up on site surveys and installationsProcurement & Inventory:Coordinate with suppliers to order materials and monitor stock levelsKeep accurate records of material usage and reordering needsCustomer Service:Handle customer inquiries and ensure prompt resolution of issuesMaintain strong professional relationships with clientsCompliance & Documentation:Ensure all project documents (approvals, permits, etc.) are properly filed and up to dateSupport with documentation for health & safety, insurance, and municipal approvals when requiredGeneral Office Management:Oversee cleanliness and maintenance of office spaceCoordinate with service providers for office utilities and suppliesRequirements:Proven experience as an Office Administrator, preferably in the signage, advertising, or construction industryStrong organizational and multitasking abilitiesProficiency in Microsoft Office Suite (Word, Excel, Outlook); knowledge of ERP systems is a plusFamiliarity with signage terminology and production processes is an advantageGood communication skills in English; Arabic is a plusAbility to work independently and as part of a teamDiploma or bachelor’s degree in business administration or a related field preferred
