Job Description

We are looking for an Executive Assistant, who will play serve as a primary point of contact for internal and external stakeholders, managing communications, scheduling, and administrative tasks to ensure the smooth operation of the executives office.Roles and Responsibilities:

  • Greet visitors and direct them to the appropriate departments or individuals
  • Managing the daily/weekly/monthly agenda and arrange new meetings and appointments
  • Answer telephones and respond to inquiries via telephone or email
  • Book meeting rooms, set up conference calls and take messages and minutes during meetings
  • Perform administrative tasks, including filing and photocopying
  • Write emails, memos and letters
  • Manage database entry and client files
  • Check frequently the levels of office supplies and place appropriate orders
  • Organize and distribute messages to the managers
  • Make and confirm travel arrangements
  • Prepare and mail outgoing correspondence
  • Maintain confidential department files/records
  • Perform routine bookkeeping tasks
  • Undertake occasional receptionist duties if needed
