Coordinate and provide patient scheduling for the Clinic.
Provide an efficient and effective secretarial and administrative service across the department.
Screens, reviews and directs requests for information.
Coordinates appropriate responses with team members to inquiries to the clinic.
Enters patients in the appropriate databases and scheduling systems
Confirms patient appointments and enters them in the appropriate electronic record systems
Coordinates with external referring entities and other internal clinics regarding patient scheduling.
Maintains medical office databases and creates reports as needed.
Identifies and compiles information for dissemination.
Manages scheduling for all patients and surgeries of the clinic
Directs staff as appropriate in order to ensure seamless customer service to all internal and external entities
To undertake patient referrals sensitively and empathetically, being able to communicate with a wide range of people, some of whom may be in distress.
To provide telephone support for the team, dealing with both straightforward and complex enquires from a range of sources, including the clinical teams, patients, relatives and other healthcare professionals. Ensure messages are communicated accurately and dealt with in an appropriate and timely manner
To accurately input, update and retrieve data in a timely manner, using a variety of systems (electronic and paper based). Ensure information is held in a secure and confidential manner in line with data protection guidelines.
To provide support for meetings as requested, booking meeting rooms, sending out supporting documentation (agenda?s, papers etc), taking and distribute meeting notes and any administrative follow up actions as required.
To undertake any other appropriate duties when required demonstrating both flexibility and participate in special projects as assigned.
To undertake general office duties as required, including photocopying, scanning, etc.
