Job Description

We are seeking a highly organized and detail-oriented Administrative Secretary to join our team in Al Kuwait, Kuwait. The ideal candidate should have a minimum of 3 years of experience in administrative roles and possess exceptional organizational and communication skills in English and in arabic. As an Administrative Secretary, you will be responsible for managing and coordinating administrative tasks and providing support to the management team. You will play a crucial role in ensuring the smooth operation of our office and assisting in the efficient execution of daily tasks.Responsibilities:

  1. Manage and coordinate administrative tasks, including handling phone calls, emails, and correspondence.
  2. Organize and schedule meetings, appointments, and travel arrangements for the management team.
  3. Prepare and distribute memos, letters, reports, and presentations.
  4. Maintain and update office records and databases of suppliers and delivery brokers.
  5. Assist in the preparation of budgets and financial reports.
  6. Monitor office supplies and place orders when necessary.
  7. Coordinate and schedule meetings and events.
  8. Assist in the onboarding process for new employees.
  9. Provide general administrative support to the team as needed.
  10. Follow up with import and export deliveries and generate tracking reports.
Preferred Candidate:
  1. Proven experience as an administrative secretary or in a similar role.
  2. Proficient in Microsoft Office Suite (Word, Excel, Msteams, Outlook) and other relevant software. Indesign and Primavera are desirable but not a must.
  3. Excellent organizational and time management skills.
  4. Strong attention to detail and problem-solving abilities.
  5. Ability to prioritize and multitask in a fast-paced environment.
  6. Strong written and verbal communication skills.
  7. Ability to work independently and as part of a team.
  8. Professional and friendly demeanor.
  9. Ability to maintain confidentiality and handle sensitive information.
  10. Knowledge of office management systems and procedures.
