Job Description

JOB OBJECTIVES:Follow up on programs and projects management platform to clarify the progress of initiatives, programs, and projects, assess cases of non-compliance with the plan, and submit related reports to the parties concerned.Job Role:

  • Review the project implementation application and work to establish and create the project, using Project 360 tool, and assign the project code.
  • Review the project charter, analyze stakeholders and make sure that phase checklist is completed.
  • Review referential plans and submit them, including (scope, schedule and cost).
  • Develop the project management plan and planning and development of project risk management.
  • Review the budget proposed for the project and get it approved, and verify the documents and information.
  • Assess the need for project communication activities management.
  • Ensure if the project requires an external contractor/supplier.
  • Update the documents/information on Microsoft tool for project and portfolio management.
  • Verify if the change request needs the Committee?s approval for the project.
  • Verify if the control and monitoring procedures are completed.
  • Ensure that all project implementation processes and benefit achievement are approved.
  • Draft the project completion project report and mark the checklist versus readiness to complete the project.
  • Receive lists of initiatives, programs and projects from the Executive Affairs Office along with the entities responsible for relevant initiatives, in addition to operational steps, key performance indicators, strategic partners, specific time periods and expected risks.
  • Develop quality assurance review plan to be applied to each initiative separately.
  • Upload (evidence) quality assurance reviews to the programs and projects management platform.
  • Conduct research and benchmarks for the best practices in implementation of initiatives and projects depending on the scope defined to support the entities responsible for implementation in terms of understanding their scope and activities in the best possible way.
  • Liaise with Economic Planning Section to acquire all technical information on scope of initiative so that the skills necessary for implementation can be gained.
  • Handle daily follow-up on implementation of the economic diversity initiatives, keeping pace with proper implementation, providing the necessary technical support to those responsible for implementation internally and externally (currently 8 groupings, each grouping needs at least two hours a day to cover all initiatives).
  • Follow up on the results of initiatives periodically by ensuring that the implementation process keeps pace with the targets set in each initiative and suggesting updates on the scope in case the actual results do not observe the specific targets before implementation could actually begin.
  • Conduct quality assurance reviews on a periodic basis (specifically, ensure that the initiative is implemented and evaluated as appropriate).
  • Submit remarks and recommended action plans to the concerned Department after reviewing the quality assurance steps taken.
  • Compile and present relevant (evidence) to the stakeholders concerned with the initiative (such as participation of an array of ?potential obstacles? for all relevant initiatives).
  • Determine the optimal communication channels for the concerned parties within the Department of Economic Development.
  • Prepare communication materials, namely documents that summarize key lessons learned from the initiative follow-up process).
  • Include input of the parties concerned.
  • Prepare and manage a central follow-up mechanism through the program and project management platform to oversee the progress of individual initiatives, programs and projects, and assess cases of non-compliance with the plan, and submit relevant reports to the relevant stakeholders.
  • Develop interactive information displays and fill them out to display the performance of initiatives scenario, platforms, schemes and projects.
  • Send data applications in order to update the initiative status on the part of all parties concerned with the initiative.
  • Receive the output harmonization files from the sectors / divisions / entities concerned with the initiatives (within the Department of Economic Development), and from the enabling and coordinative divisions / sectors within the Department (for the initiatives related to the economic strategy or economic development policy).
  • Analyze the initiatives versus the interim key performance indicators for schemes and projects.
  • Classify initiatives according to the interim key performance indicators for schemes and projects.
  • Measure the output indicators for each initiative in cooperation with the relevant stakeholders.
  • Harmonize with the responsible division within the Department or departments / sections responsible for coordination and enablement (for the initiatives where third parties are responsible for their implementation) about the initiative status. This also includes clarification of causes of the obstacles that may arise and submit them to the top-level management (TDU).
  • Circulate the main results to all stakeholders concerned with projects work progress.
  • Carry out any other duties assigned by the direct supervisor.
