Job Description

The opportunityWe are hiring an ambitious and forward-thinking project coordinator and facilities administrator to join our established and growing team in UAE. Your responsibilities will include:

  • Providing general administration of department, (holidays, training, performance reviews etc.).
  • Updating and maintaining official safety documents, liaise with government authorities.
  • Meeting KPIs and SLAs defined within the contract.
  • Promoting Safety First, No Compromise.
  • Managing a PPM system and containing information in accordance with the requirements of the contract, O&M Manuals, Health andSafety and the Asset criticality.
  • Achieving the sustainability strategy committed by the client.
  • Ensuring accuracy of asset data in liaison with appropriate management team.
  • Managing the CAFM system for PPM and reactive maintenance.
  • Maintaining data in a manner compliant with the Data Protection Act, organizational and contractual requirements.
  • Assisting with clients reports as required.
  • Collating and populating (dashboards and reporting).
  • Delivering what we promise to the client.
  • Being client focused.
  • Delivering superior customer service and develop key tenant stakeholder engagement by providing effective and timely communications to our tenants, stakeholders and client.
  • Managing and maintaining building operations to deliver high quality, efficient and cost-effective management of the building.
  • Ensuring risk management, HSE, site safety, audit and inspections are completed and compliant.
  • Ensuring site staff are familiar with and have access to all relevant Mace management system documentation and instructions.
  • Ensuring that all proposed sub-contracted service providers and suppliers are adequately vetted for management capability prior to award of contract (Cleaning, Landscaping, Pest Control, Waste Management, Parking Management, Security & Front of House).
  • Actively monitoring and reviewing all sub-contracted service providers and suppliers on site for satisfactory performance.
  • Carrying out such other reasonable duties as may be required by the line manager.
About youYou have experience as a coordinator in a commercial, multi-use buildings environment including oil/gas experience/knowledge. You are required to be highly affluent in BICSc certification with a centre of excellence or training centre. You have a strong knowledge in chemicals, materials and various types of equipment. You have experience in workplace management. You have in-depth knowledge of health and safety management. You are capable of establishing a good relationship with clients, customers and service providers. You have good communication skills and have experience working with dashboards and reporting. You have a proactive approach and involvement in services review and development of best practices and its implementation. You are digitally savvy, can build lasting client relationships and provide support to strong, motivated teams.
