Job Description

Procurement OfficerJob Location : Abu Dhabi, UAEKey Responsibilities :•Prepare and process all procurement documentation, including Purchase Orders, Letters of Credit (LCs), Sub-Contracts, and Appendices.•Negotiate with vendors on pricing, payment terms, and Incoterms to optimize savings and secure favorable agreements.•Manage the entire purchase order process, from initiation to vendor release, ensuring data accuracy within the ERP system.•Coordinate with logistics partners to arrange shipment collection and customs clearance.•Register vendors in the company system, ensuring all required documentation (including NDAs) is collected and validated.•Release Purchase Orders (POs) to vendors according to Service Level Agreements (SLAs), based on approved Purchase Requisitions (PRs).•Maintain comprehensive records of all transactions and suppliers for future reference.•Track all PRs and POs, ensuring order confirmations are received from vendors and updating Estimated Time of Arrivals (ETAs) in the PO tracker.•Process assessment forms and sub-contract agreements as needed, ensuring proper documentation is maintained in the shared drive.•Develop and maintain Procurement schedule reports, providing regular updates to the line manager.•Build and maintain strong relationships with internal and external stakeholders, including suppliers and various company teams.•Collaborate effectively with technical, estimation, and logistics teams to ensure a smooth procurement process.•Resolve material and value discrepancies in coordination with internal and external stakeholders.•Evaluate vendor proposals, comparing price, quality, delivery speed, and other factors to determine the most advantageous options for the company.Requirements :•Extensive experience in procurement of ELV, Fire Alarm, and Firefighting systems within the UAE is mandatory.•Proven experience in preparing and processing procurement documentation (POs, LCs, Sub-Contracts, etc.).•Strong negotiation skills and experience in securing favorable commercial terms with vendors.•Experience with ERP systems and procurement software.•Excellent organizational and time management skills with the ability to handle multiple tasks simultaneously.•Strong communication and interpersonal skills, with the ability to build and maintain effective relationships with stakeholders.•Proficiency in Microsoft Office Suite.•Ability to work both independently and as part of a team.
