JOB SUMMARYThe Document Controller is responsible for efficient and accurate preparation, management, and tracking of project documentation. This role ensures proper document handling, filing, retrieval, and distribution across all internal and external stakeholders. The Document Controller plays a key part in maintaining an organized system for both electronic and hard copy documentation, supporting smooth project workflows and compliance with company standards.RESPONSIBILITIESEnsure the timely and accurate preparation, numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents produced by technical teams, projects, or departments.Develop and maintain a structured document filing system that allows rapid and efficient access to all company documents.Standardize and manage the drawing numbering system in coordination with the Engineering Department and subcontractors.Maintain an up-to-date database register showing document details, revision statuses, and project-specific documentation information.Establish and manage a distribution matrix to allocate controlled copies of documents to company staff and external stakeholders (clients, contractors, subcontractors, suppliers, etc.).Log and track all correspondence, drawings, procedures, standards, specifications, vendor drawings, purchase orders, data sheets, and manuals.Coordinate and control the review, approval, and distribution of engineering, quality control (QC), supplier, and subcontractor documentation.Manage documentation requests while maintaining confidentiality and ensuring the secure handling of sensitive documents.Review, verify, and ensure the accuracy and completeness of project documents, supporting the seamless progression of the project.QUALIFICATIONSBachelor?s degree or diploma in Business Administration, Project Management, or a related field.3+ years of experience in document control, preferably in construction or contracting industries.Advanced knowledge of Microsoft Office Suite (Excel, Word, and Outlook).Knowledge of document control processes, standards, and regulations (e.g., ISO standards).Strong understanding of confidentiality requirements and document security practices.Fluency in English is a must. SKILLS & ABILITIESStrong organizational skills with attention to detail.Strong communication skills, both written and verbal.Ability to work independently and manage multiple tasks/ projects under tight deadlines.Problem-solving and proactive thinking.
