Join us and lets get started. Managing Agent Capacity - Supervision & Performance Management

  • Perform administrative duties to support AECOM daily activities
  • Assist with administrative tasks such as document & data formatting, verifying data and coordinating with managers and staff to obtain required inputs and follow up on actions to completion
  • To maintain internal systems and workflow, advise and implement administrative best practices
  • Control & maintain the project shared folders
  • Attend internal and external meetings and prepare meeting minutes, distribute, and maintain records
  • Preparation of a variety of management reports and presentations including overall design and manipulation and extraction of data.
  • Coordinate with contractors to obtain reports, plans, policies, procedure, maintenance documentation and certifications and maintain record
  • Liaise with contractors, support in monitoring performance against Key Performance Indicators (KPIs) and Service Level Agreements (SLAs), including attending monthly supplier review meetings.
  • Support staff in all aspects of onboarding
  • Manage and replenish office supplies and staff PPE
  • Receive, review, and validate contractor monthly invoices and supporting documentation
  • Schedule meetings
  • Communicate with stakeholders as required to inform of works affecting the facilities and infrastructure
  • Follow up with the client on payment of contractors and be the point of contact for all contractor queries
  • Prepare and maintain annual leave schedules
  • All other duties as required
QualificationsMinimum Qualification:
  • Bachelors degree in administration or similar
Experience Required:6+ years of experience in a facilities management administration / coordination Competencies/Skills/Job Specification:
  • Excellent English written and verbal skills
  • Excellent numerical skills
  • Planning and auditing
  • Development of presentations and reports
  • Contractor management
  • Knowledge and experience of QHSE practices and procedures
  • Excellent computer skills, word, power point and excel
  • Commercial awareness and risk management
