This may include but not limited to personal secretarial, clerical, and administrative support, such as preparing correspondence in final form, maintaining files and records, scheduling appointments and travel, and so on. Also coordinates and assists in preparing associated business reports, scheduling meetings, agendas, taking notes of the meeting and follow up on actions plans, office admin.Duties and Responsibilities:Process all communications, including phone calls, email, correspondence, mail, and faxes.Manages a highly complex business calendar with a keen sense of prioritization and time management to ensure maximum effectiveness of time use by the GM/MD.Coordinates Board of Directors meetings and related activities, and other non-board leadership activities of the GM/MD.Collects and consolidates management data/reports from each functional area in order to track performance against corporate strategy.Organizes confidential files, manages relevant data, and maintains accurate records.Coordinates all travel arrangements for GM/MD and others as needed and processes all expense reports on time.Sets up luncheons, dinners, and meetings.Functions as the recorder and coordinates all materials.Tracks action items and follows up activities of direct reports and other staff on behalf of the GM/MD.Supporting Business Activities? KSAQuarterly updating of the KSA Data, including the organization chart and management of group (DL) emails for all KSA employees and Commercial Team.Other office-related tasks, like meetings and coffee sessions with the Sales and Market Access team.Support to GCC, International (J&J) visitors and day to day work requirements.Managing any company events effectively and efficiently.Managing all international (J&J) visitors logistics or country visit meetings in the country as requested by the management.Create a spreadsheet for the whole year to view all GCC Board Meetings, EM VP, country visits, and local holidays on one page and update this sheet from time to time when changes occur.Lead the facility / office admin team to correctly manage their workload and drive efficiency to support the business better.Work with the HR and Admin leaders to effectively manage the admin work.To ensure that all the PO?s are raised correctly by the eMarket team, which does affect the payments of the vendors.Ensure that that team is ready to run admin activities with the minimum push from the business.Work closely with the facility team for the day-to-day issues and follow up.Connect with the different stakeholder within the organization to better manage the office needs and requirements so that employees have a more comfortable environment to work and perform their jobsQualificationsQualifications:Bachelors Degree in Business Administration or any other relevant field.4+ years of experience in a similar role.
