  • followinstitutional policies related to functional responsibilities, code of ethics, discipline, acceptance of gifts, anti-fraud, and other HR related policies
  • handletelephone calls, takes messages, and answers inquiries within assigned scope of responsibility
  • scheduleappointments, maintaincalendar, allocatesupervisor?s time
  • arrangemeetings with various entities including video conferencing and maintaining an updated calendar of all scheduled events
  • maketravel arrangements / accommodation; prepares itineraries; prepares compiles and maintains travel records
  • ensure timely reimbursements for travel related expenses
  • prepare and consolidate monthly / quarterly reports on Departmental Performance
  • act as a time administrator to review the attendance records, leaves, resignations & other records of all staffs of the division and coordinate with respective departments for the same
  • maintainasset/ inventory record systematically
  • handlepetty cash.
  • maintain an adequate inventory of office supplies
  • coordinate with catering services as required
  • sortand distribute incoming post and organizing / send outgoing post
  • ensuring that the reception area is kept tidy and reportany maintenance work in the area that needs attention
  • monitorand superviseactivities to ensure cleanliness of the department
  • coordinatewith Office boy / Office helper for other office duties and work responsibilities
  • submit Release-of-Payment requests online, maintainrecord and status
  • provide general administrative and clerical support including mailing, scanning, and copying to management and departmental staff
  • review monthly budget variance report (BVR) and work on the variances
  • ensure maintenance of the goals and key performance indicators to meet budgeted targets.
You should have:
  • a Bachelor?s degree / Masters will be preferred.ADiploma in secretarial skills will be an added advantage
  • atleast 3 ? 5 years? experience of administration /secretarial work
  • good verbal and written communication skills.
  • pleasant personality with excellent interpersonal skills
  • the abilityto handle multiple tasks at a time
  • the ability to be well organized and good time management
  • the ability to maintain confidentiality related to departmental correspondence and records
  • excellent communication skills including written and verbal
  • good computer skills and proficiency for MS office and Outlook.
