Job Description

Job PurposeCarries out a variety of secretarial and general clerical duties, including typing in English, distributing and despatching incoming mail, and maintaining master files and records. ? Assists in data input as work flow requires. Processes and controls SCC Shareholders Affairs documents and files in coordination of the Department Head to the principle of transparency financial and general company information equally to all shareholders.Responsibilities

  1. Keeps safe custody of the shareholders files and proper archiving of same (hard & soft copies) of various records
  2. Ensures the easy access of the shareholder affairs records for the Department Head as and when it is required..
  3. Takes shorthand dictation from assigned executives; transcribes into English typewritten from such materials as memoranda, correspondence, general notices, reports, financial statements, action forms, and data sheets.?
  4. Proof-reads typewritten materials before submitting them to originator for approval and signature.? Ensures that all material is referenced and filed correctly for data retrieval and use
  5. Complies with all requirements of CMA, MoCI and the corporate governance while processing the documents of shareholders
  6. Coordinates with Manager for all job responsibilities and makes sure the assigned works are performed on time.
  7. Receives through supervisor various material to be typed in English, discusses and prioritises special requirements as instructed.?
  8. Prepares stationery and other office supply requisition forms as required, receives and distributes office supplies.? Insures adequate and appropriate inventory is on hand at all times.
  9. Attends incoming telephone calls promptly, connects to supervisor if necessary, and answers to general office enquiries.
