Job Description

We are looking for an Office Manager to join our growing team at our fun, social advertising agency. The right candidate will have bags of energy and feel comfortable front of house - managing requests from clients, suppliers and colleagues alike. A true people person, youll be able to put your colleagues at ease and you can anticipate our office needs before your colleagues do. You thrive under pressure and love everything to be incredibly organised and well planned.Youll be supported by a personal assistant, a driver and report to the head of HR.You also be responsible for:

  • Managing and co-ordinating the secretarial and administrative activities within the HQ Office to ensure smooth office operations.
  • General administrative duties including general correspondence, travel planning, and arrangement of meetings preparing Agendas & all relative documentation and presentation.
  • Diary management and management of meeting rooms, reception , security guards & office helpers
  • Oversee and manage day to day administrative tasks like handling entry and exit formalities of employees,visitors & contractors ,overlooking safety measures ,and other Administrative Tasks.
  • Manage and maintain effective office procedures and efficient work flow throughout the division by supervising and providing direction to other support staff including leadership and guidance.
  • Greeting and handling visitors, both internally and externally; Greet clients and visitors with a positive, helpful attitude. Assisting clients in finding their way around the office.
  • Handling queries and complaints via phone, email and general correspondence Transferring calls as necessary.
  • Managing office supplies such as stationery, equipment and furniture
  • Maintaining office services as required (such as cleaners and maintenance companies)
  • Receiving and dispatching deliveries
  • Taking and ensuring messages are passed to the appropriate staff member on a timely basis
  • Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes and making travel plans.
