DUTIES AND RESPONSIBILITIES:? Handling of incoming telephone calls? Receiving guests and attending to their requests.? In-charge of Pre-qualifications and maintenance of its electronic files in the server;? Handling enquiries thru the general email and forwarding to the respectivesales/technical person in-charge;? Provide P/A assistance to the WEGY General Manager , including but not limited toCalendar arrangements , appointments booking , reports , travel arrangement , hotelbooking , etc? Provide T/A assistance Arranging business travels for the team and overseas guestsincluding ticket/hotel bookings, transportation and meetings;? Acting as expenses controller being Responsible for coordinating , preparing andsubmitting monthly expenses to the finance and ensure accuracy and timing ofsubmission? Responsible for liaising with respective companies regarding maintenance of officeand IT equipment and building facilities when required.? Responsible for coordinating , preparing and submitting monthly expenses to thefinance and ensure accuracy and timing of submission? Responsible for marketing- related activities within WEG? In-charge for inward and outward document/package courier;? In-charge of purchasing office supplies/stationeries and office consumables;? Responsible for organized and systematic maintenance of admin files as well assales order and proposal documents of sales team for efficient and convenientretrieval of documents/information;? Print and bind WEG pricelist and other important documents;when necessray? Supervise the the workers in the office ( like office boy or the cleaner .. etc) tomaintain the cleanliness of the office such as reception area, pantry, storage room,conference rooms and working area of the employees? Perform other administrative /liaison works as may be assigned from time to time.
