Job Description

Job PurposeA file clerk organizes records such as employee?s contracts, attendance sheets, lease contracts, and any other related administration or HR documents, and files these in relevant files (soft copies and hard copies). A File Clerk retrieves information on request and returns records to the correct locations. the file clerk will be responsible for the personal files of 700+ employees as well 30+ lease contracts.ObjectivesOur Human resources clerk will have an essential role in maintaining records, preparing a variety of complex documents, and carrying out secretarial functions to support human resources procedures and policies.Duties and Responsibilities?*** All the responsibilities listed below apply to Amman &other bases at regional mession:?

  • Collecting documentation from various internal and external sources, including field offices.
  • Assessing, organizing, and coding server documents for all Bases.
  • Creating and updating files, and filing documentation inappropriate files.
  • Scanning files regularly to ensure their correct positions and to search for missing records.
  • Retrieving records on request and forwarding these to relevant parties
  • Develop an efficient filing system to make updating and retrieving files easier
  • Follow policies and confidentiality dictations to safeguard data and information
  • Create new personal folders for new national and international staff.
  • Collect missing documents from the Amman office and field offices.
  • Update staff files on a database on a regular basis and ensure the accuracy of data.
  • Responsible for scanning and uploading all needed documents to the server and to the archiving system.
  • Provide the audit department with all documents they ask for to conduct audits and collect them back.
  • Receive documents shipped by other countriesbases and file them in soft and hard copies filing attendance sheets for Amman and filed-based staff.
  • Update the Mailing list on a regular basis and ensure the accuracy of data.
  • Collect the organogram for all bases, and sent for headquarter.
  • Make sure to provide the security department with the headcount for the whole of Syria each month.
  • Ensure Word Directory report is valid and up to date
  • Collect signatures from all Department and keep the table of authorization updated
**Any other related administration or HR task assigned by line manager or head of a department.Key Performance Indicators?
  • The % success rate of server readiness and updates;?
  • % of finalizing the HR/Admin reports and submitted in a timely manner;
  • % time between receipt of a document and validation (or rejection) of the delivery (includes quality checks on documents)
